Damage Deposit Policy
This Damage Deposit Policy ("Policy") outlines the terms under which a damage deposit (also referred to as a "bond") is collected, held, and returned in connection with your booking and occupation of one of our caravans ("the Property").
1. Purpose of the Damage Deposit
The damage deposit is a refundable sum collected prior to your stay, held as security against any potential damage, loss, theft, or breach of the terms of stay during your period of occupancy. It is not a substitute for guest compliance and is intended to protect the interests of the caravan owner and maintain the standard of the Property for future guests.
2. Property Inspections
Upon your departure, a post-stay inspection will be conducted by our appointed cleaning contractors, Butlins staff, or the caravan owner themselves. These checks are routine and are undertaken to assess the condition of the Property and identify any:
- Damage (accidental or deliberate)
- Staining to furniture, upholstery, bedding, or other soft furnishings
- Theft or loss of items belonging to the Property
- Signs of unauthorised pets, smoking, or excessive uncleanliness
- Breach of any terms as outlined herein
3. Deposit Deductions
If any of the above issues are identified and are reasonably and objectively determined to have occurred during your occupancy, we reserve the right, at our sole discretion, to deduct an amount from the damage deposit to reasonably cover the costs associated with:
- Repairs
- Replacement of lost or stolen items
- Additional cleaning or specialist cleaning services
- Professional services required for stain or odour removal
- Administrative or recovery costs
The amount deducted may be any sum up to the full value of the deposit, depending on the severity and nature of the damage or loss. In circumstances where the cost of damages or losses exceeds the value of the damage deposit held, you agree and acknowledge that:
- We may retain the full amount of the deposit; and
- You shall remain liable for any additional costs incurred;
- We reserve the right to pursue recovery of these additional sums through civil or legal means, including debt recovery services, for which you will be liable for all associated fees.
4. Guest Obligations and Conduct
By placing a booking, you agree to the following conditions of stay and accept full responsibility for the condition and care of the Property throughout your occupancy:
- You will take reasonable and responsible care of the caravan and its contents;
- You will not permit any pets or animals on the Property;
- You will not host or invite guests beyond the number of individuals declared and approved in the original booking;
- You will not engage in any dangerous, illegal, irresponsible, or disruptive behaviour during your stay;
- You will report any damage, loss, theft, or staining immediately to us via our designated communication method;
- You will make reasonable efforts to address and clean any minor stains or spills promptly;
- You will not smoke or permit smoking inside the caravan at any time;
- You will not move or tamper with fire safety devices, smoke detectors, or carbon monoxide alarms;
- You will leave the caravan in a clean, tidy, and generally acceptable condition;
- You will follow all rules and policies communicated to you prior to or during your stay.
Any breach of the above obligations, whether intentional or due to negligence, may result in partial or full forfeiture of the damage deposit.
5. Refund Process
Following the successful completion of the post-stay inspection and provided that no breaches of this Policy have been identified, the damage deposit shall be returned to the original payment method or account within 7 calendar days of the end of your stay. Please allow an additional 3–5 business days for standard banking processing time depending on your financial institution.
You will receive written communication confirming the status of your damage deposit. If a deduction is to be made, this communication will include the reason for the deduction, a breakdown of any charges, and an indication of whether any further sums are payable.
6. General Provisions
- This Policy forms part of the terms and conditions of your booking.
- By proceeding with a booking, you are deemed to have read, understood, and accepted this Policy in full.
- We reserve the right to amend this Policy at any time. Any such changes will apply to bookings made after the date of publication of the amended policy.
